Bulk user manual

Copy, modify and delete Apaleo setup, create promotions, and automate operational changes across properties.

Start a Bulk operation

Choose an operation, item type, sources and targets before reviewing the proposed changes.

Choose the operation and scope

  1. Open Bulk from the account app menu and select Copy, Modify, Delete, promotion creation, or automation as appropriate.
  2. Choose the item type. Setup operations support rate plans, unit groups, units, services, companies, cancellation policies and no-show policies; the available types depend on the chosen operation.
  3. Select source properties and items. Use names, codes and filters to narrow the selection, then inspect the selected items before continuing.
  4. For Copy, choose the destination properties or unit groups offered for that item type. Source and destination are separate selections.

Bulk can affect multiple properties. Review the full selection even when you opened the app while working with one property. Account-specific access restrictions can apply.

Review before executing

  1. Start with a small test selection in a test account where possible.
  2. Read the review screen and terms, check the action count, and submit only when the proposed operations match your intention.
  3. Keep the operation progress and final summary available until you have checked successes and failures.

Copy setup between properties and unit groups

Duplicate supported Apaleo objects and resolve their references in each destination.

Copy and adjust

  1. Choose Copy and the item type, then select the source items and destination targets.
  2. Open copy settings to choose the fields and naming/code changes needed for the new objects.
  3. Review destination mappings for references offered by the selected object: services, companies, market segments, subaccounts, age categories, corporate codes and related setup.
  4. Check the per-target preview. Resolve missing dependencies in the destination before executing.
  5. Submit the reviewed copy and inspect the result for each target.

The copy review is not a complete target-state comparison or overwrite dry run. Current Values describes the source items; proposed rows combine sources and selected targets.

Collision handling depends on the object type. Rate-plan copying skips already existing target IDs; company copying checks duplicate keys. Do not infer one collision policy for every object type.

A matching name is not proof that a destination object has the same business meaning. Verify tax, service and accounting mappings with the destination property.

Modify existing setup in bulk

Apply selected field changes to existing items.

Prepare a modification

  1. Select Modify, the item type and the existing items to change.
  2. Choose the fields to update in the editor and enter the intended values. Review nested settings and mappings when shown.
  3. Compare the review with a representative existing item and confirm which fields will change.
  4. Submit and verify the affected objects in Apaleo, then use the summary to identify any failed updates.

Changing prices, policies or availability-related setup can affect future sales. Check effective dates and the affected rate plans.

Delete selected items

Remove supported setup, promotions or automation definitions after reviewing their exact scope.

Review and delete

  1. Choose Delete and the supported item type.
  2. Select the exact objects and open the deletion review.
  3. Check all selected IDs, dependencies and terms. Remove any item that should remain.
  4. Confirm the operation, then review individual errors for objects that could not be deleted.

There is no general undo for deleted Apaleo setup. Do not assume a partial failure means that no items were deleted.

Bulk Promotion deletion is scoped by account and promo code, including associated profile promotions. A property filter in the list does not restrict deletion to that hotel. Review bulk.promotions before deleting a shared code.

Create and maintain Bulk promotions

Build promotional offers using profiles, promo codes, rate plans, discounts and optional email.

Create a campaign

  1. Select the Bulk Promotion creation workflow and choose the profiles or reservation-derived audience using the available filters and date range.
  2. Set the promo code, discount value and discount type, then select the participating properties, unit groups and rate plans.
  3. Review promotion dates and other offered constraints. One staged creation uses the same validity period across its selected targets. For different hotel end dates, create separate campaigns with distinct codes and the appropriate property/rate-plan scope.
  4. Confirm that the intended IBE is installed and configured for the promotion flow.
  5. If sending email, review the promotion email, recipients, sender and language before submission.
  6. Inspect the promotion review and create the campaign. Test a resulting booking link as the recipient would use it.

Maintain or remove an existing promotion

  1. Inspect the saved code, validity period, participating properties, rate plans and audience before planning a change.
  2. There is no verified existing-promotion Modify save workflow in the current implementation. Do not use the general setup Modify instructions as a promotion editor; arrange a supported replacement with support when a live campaign must change.
  3. To remove a code, use Delete with Bulk Promotion and review the exact selected codes. Deletion removes matching records across the account and associated profile promotions, rather than only the currently filtered hotel.
  4. If an offer should stop at only one hotel, do not delete a shared code as a hotel-only action. Establish a supported replacement and verify the remaining hotels before retiring the old code.
  5. Check resulting promotion links and IBE behavior after a supported change.

Promotion configuration and email delivery are separate outcomes. Review the operation results and messaging logs when an email is expected.

Build event-driven and recurring Bulk automations

Combine a trigger, conditions, an action and execution timing.

Create a rule

  1. Choose the automation workflow and a supported event topic or recurring trigger.
  2. Configure conditions against the selected source. Combine conditions and check their operators and values in the preview.
  3. Choose the target action and set the fields it should change.
  4. For recurring rules, configure the recurrence, local execution time and time zone. For event rules, review the offered delay or execution timing.
  5. Review the preview and submission settings, name the automation, then save it.

Maintain rules

  1. Use Modify with Automations to load an existing rule and review its trigger, conditions and action together.
  2. Save the reviewed changes or use Delete to remove a rule that is no longer needed.
  3. Check logs after a matching event or scheduled occurrence and verify the resulting change in Apaleo.

An event rule needs a matching event after it is enabled; saving a rule does not by itself replay all historical events.

Progress, results, logs and recovery

Distinguish successful changes from failures and investigate one affected item at a time.

Read the result

  1. Wait for the operation to finish and inspect the success/failure counts.
  2. Expand the summary to inspect failed items and the error returned for each operation.
  3. Open Show Logs to find earlier runs and compare their timestamps and item IDs.
  4. If archiving logs, confirm the selected entries before using the archive control.

Recover from a partial failure

  1. Check whether a failed request actually changed its target before retrying.
  2. Correct the reported mapping, validation, permission or dependency issue.
  3. Retry only the required items and verify the new summary.
  4. For support, include account, operation type, item type, source and destination IDs, run timestamp and the relevant error text.

A mixed result is possible. Repeating the entire selection can duplicate successful copies. Usage and pricing are shown in the app and billing views.
